New Sale by token

Purpose: Re-charge the card from an existing transaction when the card is no longer present, by running a new sale against the stored token from the cloud portal. The new charge is a final sale that posts to your Card Not Present account.

When to use this: A forgotten or added charge, a no-show or late fee, or re-billing after you voided a card-present sale, any time the card has left but it was already run on this system.

How it works

When a card is run, the processor returns a secure token that stands in for the card number and is saved on the transaction. New Sale by token charges that stored token, so nothing has to be swiped, dipped, or tapped again. Because the card is not present, the charge runs on your Card Not Present account as a final sale (it authorizes and captures in one step), not a hold.

Before you start

  • Your Card Not Present account must be set up. The New Sale by Token action only appears when it is. (If it is not configured, switching the source to Card Not Present shows Ecommerce Not Configured.)
  • The original transaction must carry a stored token (most card-present sales and authorizations do).
  • Support accounts cannot run it.

Steps

  1. In the cloud portal, open Transactions and find the original transaction (use Advanced Filters if you need to).
  2. Open the row's Actions menu and choose New Sale by Token.
  3. The New Sale by Token dialog opens with the Amount pre-filled from the original transaction. Adjust the Amount, and add a Tip (Optional) if needed.
  4. Enter the required note explaining the charge.
  5. Tap Confirm Sale (or Cancel to back out). The total charged is the amount plus any tip.
  6. On approval the list refreshes and the new sale posts.

Where it lands

The new sale is a final sale on your Card Not Present account. The Transactions page has a Transaction Source switch between Card Present and Card Not Present: flip it to Card Not Present to see the token sale. Card-present sales stay under Card Present, and the original transaction is left unchanged.

Limits to know

  • This is a card-not-present charge, so it can settle at a different rate and is more exposed to a dispute than a card-present sale. Use it for genuine follow-up charges, not the everyday way to take payment.
  • A token only re-charges the same card it was created from, and only while the original transaction still carries it.
  • A note is required, and the Amount must be greater than zero.

Verify

  • The new sale shows Approved and the Transactions list refreshes.
  • It appears under Card Not Present in cloud Transactions, with the original transaction unchanged.
