Payment procedures

Purpose: Take payments on the handheld, the standard sale, plus tips, receipts, refunds, pre-authorizations, and gift cards.

When to use this: Day-to-day payment taking on a handheld in any mode.

Take a payment

  1. Start the payment from your mode's flow (an order in Order & Pay, a check in Pay-at-table, or an amount in Solo).
  2. The device shows the Amount Due, with Tax, Tip, and Subtotal as they apply.
  3. Have the customer tap, insert, or swipe the card when prompted.
  4. The device confirms Transaction Approved!. A Partial Approval for $… means the card only covered part of the amount, collect the rest separately.

Tips

When the tip prompt is on, the customer sees tip buttons shown as percentages with the dollar amount worked out, plus No Tip and Custom.

  • Custom opens Enter Custom Tip for the customer to key an exact amount.
  • Which preset is highlighted by default is set in Device Settings → Default Tip Selection (1st, 2nd, 3rd, or None).

Receipts

After approval the device asks How would you like to receive your receipt?:

  • Print Receipt: on devices with a printer (such as the A920).
  • Email: enter the customer's Email Address.
  • Phone: enter the Phone Number for a texted receipt.
  • No Receipt.

Tap Done when finished. (A texted receipt includes a short consent line; the customer can reply STOP to opt out.)

Refund

  1. From the payment flow, choose the refund action.
  2. Enter the Refund Amount.
  3. Tap Refund and have the customer present the card if prompted.

Pre-authorization

For tabs and similar, a pre-authorization holds an amount now and captures later.

  1. When the device asks Pre-Auth, tap Yes to authorize a hold (or No for a normal sale).
  2. Capture or adjust it later from the cloud portal.
Raising a tab through the night

If you keep raising the hold on an open tab and the device throws a declined or parsing gateway error, run it again as a brand-new authorization on the same card. See Common errors.

Gift cards

Choose the gift-card option to open Gift Card Payment, then Swipe Card or Scan Barcode. The app also has flows to redeem, issue, reload, and create gift cards from Device Settings when Gift Card is turned on.

Split payment

Splitting a payment across cards is available in Self-Checkout / Kiosk mode, where the customer can choose Split or Pay Full.
